What is the difference between permissions and seat allocations?

A seat and a permission serve different purposes. A seat gives a team member access to a product; permissions control what the person can do after they have access.

Seat allocations

Each allocated team member uses one of the product's available seats. A team member normally needs a seat before product permissions can be useful. Some products provide unlimited seats.

Seats can be managed through a team member's profile or Product management. The Product management route opens Manage product, then Manage team member seat allocation under Your plan includes. See What are product seats and how do I manage them?.

Permissions

Administrators and team members with the Manage team members and groups permission can manage permissions.

  • Hub permissions control access to account settings, billing and team management.
  • Product permissions control actions inside one specific product.

How they work together

  • Allocating a seat does not automatically grant every permission inside the product.
  • Granting a product permission does not allocate a seat.
  • Adding a team member to a group can give them inherited permissions, but it does not allocate a product seat.
  • Removing a seat prevents the team member from using the product even if a group still grants product permissions.

For a new person, first add them as a team member, allocate the required product seat, then set the Hub and product permissions they need.

Use How to manage product permissions for a team member to review their permissions after allocating the seat.
