How to manage team permissions inside a product
In this article, we'll guide you through changing a team member's permissions for a product in the Webfactory Hub.
Product permissions control what someone can do inside a product they can access. For example, Knowledge Base permissions include Manage settings and Manage content. The permissions available depend on the product.
This is separate from allocating a product seat or giving someone access to open the product. If the team member cannot access the product at all, see How to give a team member access to a product.
Individual permissions can be managed in Advanced permissions mode. In Basic permissions mode, non-administrators receive the standard permissions for products they can access. If you cannot see the controls described below, ask your account administrator to check your permissions and the Hub's permissions mode. See What is the difference between Basic and Advanced permissions? for more information.
Click your profile image and select Account & billing.
Open Product management.
Expand the relevant product type, such as Knowledge Base, then find the specific product you want to manage.
Open the product's More actions menu and select Manage team permissions. This is separate from Manage team member seat allocation.
In Manage team permissions, find the person you want to update. Use Search team members if needed, then select their name to open Manage permissions.
Review the available permissions. Turn a switch on to grant a direct permission, or off to remove that direct permission. Read any guidance beneath the permission before changing it.
If a permission shows Permission granted from group, it is inherited and its switch cannot be changed here. Follow How to add or remove product permissions using groups to update the source group.
Click Save permissions to apply your changes. To leave without applying them, select Cancel.
If you need to update someone else, select Choose another team member when that option is shown, or reopen Manage team permissions from the product's More actions menu.
Direct and inherited product permissions
- Direct permissions are assigned to an individual team member. You can change these in the product's Manage permissions dialog.
- Inherited permissions come from a group the team member belongs to. The dialog identifies the group with Permission granted from group. To change these, follow How to add or remove product permissions using groups. A group change may affect other members of that group.
If a team member is missing from the list
Check whether they have been allocated access to this product. Group membership does not allocate a product seat. See How to give a team member access to a product.
Hub permissions are separate
Hub permissions control account settings, billing and team management. Find them under Manage team > Team members or Groups, open the person or group, then select Permissions > Manage Hub permissions.
Change product permissions for a group
Follow How to add or remove product permissions using groups to choose what group members can do inside a particular product.
Removing a direct permission does not remove the same permission if the team member still inherits it from a group. Review the source shown beside each permission before saving.
