How to prepare for the Assisted Welcome Pack
In this article, we'll explain what to prepare before your Assisted Welcome Pack phone call and what will happen afterwards.
The Welcome Pack forms the design brief for your website. During the call, a member of our team will guide you through each section and record your requirements.
We will discuss everything needed for your website brief, except the detailed text and images for each page. You will provide this content separately after the call.
What the Assisted Welcome Pack service includes
During the call, our team member will:
- Explain each section of the Welcome Pack.
- Ask questions about your business and website requirements.
- Discuss your branding, preferred design, website pages and required features.
- Record the information and decisions you provide.
- Explain what content and images you need to send after the call.
- Answer any questions you have about the next steps.
The call does not include writing or reviewing the detailed content for your website pages. You will need to provide accurate information, text, images and files for your website.
Information about your business
Be prepared to tell us:
- What your business does.
- The products or services you provide.
- The areas or locations you serve.
If you have an existing website, brochure or company profile containing this information, have it available for reference during the call.
Your logo and branding
Be prepared to tell us about any existing branding you would like us to use, including:
- Your company logo.
- Brand colours.
- Brand guidelines.
- Preferred fonts.
- Existing business cards, brochures or promotional materials.
You do not need to send these files during the call. We will explain how to provide them afterwards.
When sending your logo, use the highest-quality version available. Original PDF, SVG, EPS or high-resolution image files are preferable to screenshots or small images.
If you do not yet have a logo or established branding, let us know during the call.
Website design ideas
Think about how you would like your website to look and feel.
Before the call, try to find two or three websites you like. These do not need to be from your industry. Consider what you like about each example, such as:
- The colours.
- The layout.
- The menu.
- The use of images.
- The style of the text.
- The overall look and feel.
You should also tell us about any colours, styles or features you do not want us to use.
Your website pages
Think about the pages you may need on your website. Common examples include:
- Home.
- About us.
- Services.
- Products.
- Gallery.
- Testimonials.
- Frequently asked questions.
- Contact us.
We will discuss and agree the page names with you during the call. You do not need to have the finished text or images for each page ready at this stage.
Sending your website content and images
After the call, our team member will normally send you a follow-up email with a summary of what was discussed and listing everything that you'll need to send for them to complete and submit your welcome pack.
You can reply to this email with the content required for each page, including:
- Page text.
- Photographs and other images.
- Service or product sections.
- Opening hours.
- Contact details.
- Frequently asked questions.
- Staff biographies.
- Brochures, menus or price lists.
Clearly label your text and images with the name of the page they belong to. Check that your files open correctly and use clear file names so we can easily identify them.
Only provide content and images that you own or have permission to use.
If your package includes a photo pack, the follow-up email will also explain how to find and select suitable images from the available photo library.
Ecommerce information
If your website will sell products online, be prepared to discuss:
- How your products should be organised.
- Your product categories.
- Available sizes, colours or other options.
- Delivery or collection requirements.
- Returns information.
- Any special purchasing requirements.
You do not need to read out or review every product description during the call. Detailed product names, descriptions, prices and images can added through the building process.
Search optimisation
Think about the words or phrases customers might use when searching for your business online.
Be prepared to tell us:
- Your main services or products.
- The locations you want to target.
- Any important search phrases.
- The types of customers you want to attract.
Your knowledge of your business and customers will help us record the most relevant information.
Your web address and email accounts
Be ready to confirm:
- Whether you already own a domain name.
- The domain name you would like to use.
- Where your domain is currently managed, if known.
- Whether you have an existing website or email service connected to it.
- The business email addresses you need.
- Any existing email addresses that may need to be transferred.
Do not share passwords during the phone call. Our team will explain how to provide any required access securely.
Social media accounts
If you already have social media profiles, have the links ready so our team member can record them during the call. These might include:
- Facebook.
- Instagram.
- LinkedIn.
- YouTube.
- TikTok.
- X.
Do not worry if your social media profiles are not ready. You can add or update the links through the website editor once your website reaches the pre-live stage or after it has gone live.
Optional products and features
Consider whether your website may require any additional features or services.
Mention anything you are interested in during the call so our team member can explain the available options and record your requirements.
On the day of your call
To help you get the most from your appointment:
- Find a quiet place where you can speak without interruption.
- Use a computer or tablet so you can access emails, files and example websites.
- Make sure anyone responsible for approving the website is available or has provided their input.
- Keep your notes and example website links close at hand.
- Write down any questions you would like to ask.
After your call
- Look out for the follow-up email containing your agreed page names and instructions for providing your content.
- Send the requested text, images and files as soon as possible. Clearly identify which page each item belongs to, as this will help us prepare your website correctly.
Before your Welcome Pack is submitted
Make sure the information recorded during the call is accurate and that your most important requirements have been included.
Once the Welcome Pack has been submitted, it will become view-only. If you need to change something after submission, you will need to contact our team.
